Member enrollment

Collect a Member's intake details in a conversation, then email onboarding next steps when your team marks the enrollment Ready.

Who it is for

Enrollment and intake teams that collect the same details from each new Member, review them, and send the same onboarding message once a Member is ready.

What it does

• The Enrollment Form holds five intake fields: Name, Phone, Preferred language, ZIP code and Contact consent. It also holds an admin-only field, Enrollment status: New, Ready or Complete. Your team maintains the status.
• The Enrollment Workflow has one Task, Capture Basic Information. Its Agent asks for the five intake fields and saves them to the Form. It cannot read or change the status. It works in a chat and on a phone call.
• The Member enrollment Journey follows up after intake. For each enrolled Member it waits up to two days for the status to become Ready. Ready goes to the onboarding email step.
• A Member who is not Ready after two days gets the Review enrollment status label.
• Complete, or the Stop enrollment label, ends the Journey at any step.

What it does not do

It does not start a conversation with a Member. A Member reaches the Workflow the way your workspace offers conversations, such as a chat on your Site or a phone number you route to it. It does not enroll a Member in the Journey after intake: you enroll Members, or set an enrollment condition, in the Journey. It does not notify a coordinator: the review label marks a Member for your team and does not assign work. It does not set the status; a person on your team does.

Before you turn it on

Installing adds the Form, the Workflow and a draft Journey to the workspace you choose. It does not enroll Members or send messages: automatic enrollment is off and each email step is inactive. The installed Workflow is fixed at its published version; clone it to make your own copy. Review the Task prompt, the email text and the Inbox, and test with synthetic Members before you publish the Journey. Confirm PHI authorization for the workspace before you use real health data.
